Contractor Accreditation & Approval Support

Contractor accreditation support: contractor and adviser reviewing documents, with Salusphere Global branding.

A client asks for contractor approval before work can start. You open the supplier portal and find requests for policies, risk assessments, training records and supporting evidence. Knowing what to provide can quickly become another job on an already busy day.

Salusphere Global provides independent contractor accreditation support to help you understand the requirements, identify gaps and prepare a clear, accurate submission. We support first applications, renewals and responses to assessor feedback, with the work tailored to your business.

Choosing the right accreditation route

No single commercial health and safety accreditation is legally required for every UK contractor. A buyer or tender, however, may make a particular assessment or prequalification route a condition of work. Salusphere Global is an independent consultancy. We help you understand that requirement and prepare for it. Approval decisions stay with the scheme or the buyer.

Who needs contractor approval support?

Our support is aimed at SME contractors, subcontractors, maintenance businesses, cleaning companies, facilities management suppliers and other service providers. You may need help with:

  • First applications: starting from scratch, or from documents that no longer reflect the work.
  • Renewals and upgrades: keeping an approval current or moving to a higher membership level.
  • Returned submissions: making sense of assessor comments and fixing what is needed.
  • Client-specific questionnaires: answering a buyer’s own supplier questions alongside a scheme.

Salusphere Global reviews your current health and safety arrangements, identifies practical gaps and helps you decide what to tackle first. If you have a deadline or a specific scheme in mind, you can discuss your application or renewal with us before you start the questionnaire.

Schemes and supplier platforms

Before you apply, check the buyer’s required package, its scope and its current terms. We can help you prepare for:

  • Contractor assessment schemes: SafeContractor, CHAS, Smas Worksafe and CQMS Safety-Scheme.
  • Construction and facilities management supplier verification: Constructionline and Facilitiesline membership levels, including the relevant Once For All Health & Safety assessment requirements.
  • Prequalification platforms: Builder’s Profile, a supplier information and questionnaire platform, and Avetta, which has its own documentation requirements.
  • Other routes: Achilles, other Common Assessment Standard (CAS) routes and specialist sector approvals, considered case by case depending on scope and relevant expertise.

Assessment packages and buyer requirements differ, so we first establish the route and level you need. Once For All Health & Safety was formerly known as Acclaim SSIP. Registration or listing alone should not be assumed to meet a buyer’s specified assessment requirement. Our wider health and safety consultancy supports the practical arrangements behind your application.

SSIP recognition and broader requirements

Safety Schemes in Procurement (SSIP) is an umbrella body. Its member schemes undertake assessments against core health and safety criteria approved by the Health and Safety Executive (HSE). SSIP’s Deem to Satisfy arrangements may recognise a valid existing assessment, depending on scope and scheme requirements. Additional questions may still apply to wider assessments or a buyer’s own requirements.

The Common Assessment Standard covers construction prequalification beyond health and safety and has desktop and site-based assessment routes. We confirm the buyer’s requirement before agreeing the support needed. Broader requirements may involve business, financial or specialist evidence that you or your advisers need to provide.

How our contractor accreditation support works

Choose from four support options, depending on where you are in the process. We agree the scope around your business, activities, existing arrangements and the assessment required.

1. Readiness Review

We compare the required scheme and assessment level with your existing documents and arrangements. You receive a gap list and a prioritised action plan, showing what can be used, what needs updating and what practical action is required.

2. Application & Submission Support

We help prepare the agreed documents, organise supporting evidence and complete the relevant questionnaire. Depending on scope, this can include:

  • Document development: agreed policies, risk assessments and method statements based on your real tasks.
  • Training and competence evidence: organising training matrices and relevant qualification, training and experience records supplied by your business.
  • Evidence organisation: communication arrangements and inspection or action records, set out clearly.
  • Questionnaire assistance: help preparing answers and the submission, with portal help depending on platform rules and your authorisation.

We agree what we will prepare and what you need to provide. Portal assistance is subject to the platform’s access rules and your authorisation. Assessment and approval remain with the scheme or buyer.

3. Returned Submission Support

If your submission has been returned, we help interpret the assessor’s comments and identify whether the issue is missing evidence, unsuitable documentation or a gap in your arrangements. We then agree the corrections and help prepare your response.

A revised document can’t stand in for a control you haven’t put in place. Feedback may call for genuine health and safety training, new records or changes to how work is done before you can say an arrangement exists.

4. Renewal & Ongoing Support

We review changes to work categories, personnel, insurance and documents, monitor agreed expiry dates and help prepare updated evidence for renewal. Where broader support is needed between assessments, our ongoing health and safety support can help you maintain and review your arrangements.

Evidence that reflects actual work

The evidence you need depends on your business, activities, workforce, client, scheme and assessment level. Common starting points are accurate legal and trading details, work categories, workforce information and relevant insurance certificates.

Evidence should match your actual hazards, controls and working arrangements. Generic templates may be unsuitable where they do not reflect the work being assessed. Typical evidence includes:

  • Task-specific controls: risk assessments and method statements for the work in scope.
  • Emergency arrangements: emergency procedures and incident-reporting arrangements.
  • Implementation records: training, supervision, equipment inspections and corrective actions.
  • Substance assessments: needed only where you use or come into contact with hazardous substances.

Under the SSIP Core Criteria, assessors verify that a suitable health and safety policy has been created and implemented. The statement of intent must be signed by the managing director or equivalent and dated within the previous 12 months. This is an SSIP assessment requirement; we check the applicable questionnaire for your business.

From application to ongoing approval

Health and safety accreditation shows a buyer what your arrangements look like at the time of the assessment. Your responsibilities under health and safety legislation continue on every job after you are accredited.

A practical application process

We keep the process simple and agree the scope before any work starts:

  • Understand and review: confirm the buyer’s written requirement and review the evidence you already have.
  • Agree scope and fee: set out what is included before work begins.
  • Address, submit, follow up: close the agreed gaps, prepare the submission and handle agreed follow-up queries.

HSE’s guidance on assessment schemes explains that scheme assessment does not establish that a contractor can manage the risks of every project. Your policies, risk assessments and supporting records should reflect arrangements that are implemented in practice.

What clients must provide and implement

You need to give accurate business declarations and genuine evidence of the work you have done. We cannot create historical training, inspections, toolbox talks or implementation records that did not happen.

You remain responsible for implementing controls, supervising work and maintaining your day-to-day health and safety arrangements. We identify which information and actions are required from you and agree the extent of follow-up support in our proposal.

Frequently Asked Questions

Is contractor accreditation legally required?

No single commercial health and safety accreditation is legally required for every UK contractor. However, a client or tender may specify a particular scheme, assessment level or supplier approval process as a condition of work. We start by confirming what your client requires.

Can you help with an application that has been returned?

Yes. We review the assessor’s feedback, identify missing or unsuitable evidence and help you prepare the agreed corrections. Where the feedback identifies a gap in how work is managed, we can help you understand the practical action needed before resubmission.

Can I use an existing SSIP assessment for another scheme?

An existing, valid assessment may be recognised through SSIP’s Deem to Satisfy arrangements, depending on its scope and the receiving scheme’s requirements. Additional questions or evidence may still be needed for broader assessments or client-specific requirements.

How long does the process take?

Timescales depend on the scheme, the evidence already available, any improvements needed and the assessor’s review process. We agree our work with you at the outset and identify anything you need to provide. The scheme controls its own assessment timescales.

Does every application involve an on-site audit?

No. Some assessments review documents remotely, while others include a site-based audit or specialist checks. We help you establish the required assessment level and prepare the relevant evidence.

What does your support cost?

We review your requirements and agree the scope and consultancy fee before work begins. Scheme membership and assessment fees, training, site visits and specialist work are separate unless expressly included in our proposal.

Can you guarantee approval?

Approval remains the decision of the scheme or buyer. Our role is to help you understand the requirements, address agreed gaps and prepare accurate evidence. Approval also does not replace your ongoing health and safety responsibilities or project-specific risk management.
